In 2015 the school did have an old website and a partial profile on Google.

But the website did not reflect the quality of the settings.

It also was not optimised to serve as an online sales tool.

The Google listing was incomplete for Templeogue and a new one was required for Terenure to ensure the school was found by parents online.

did not reflect the quality of the schools facilities and services, and was not built to view easily on mobile phones

2 – Parents searching Google
for early years services in Templeogue and Terenure were not always finding Horizons prominently listed

3 – Summer Camp 
was an admin heavy service that had issues with child no shows, partial week bookings and lost revenue

4 – Email Accounts
access was only available in the school office and staff did not have school email accounts

with extensive photography and content to showcase the school, facilities, services and staff

In 2019 we added a Summer Camp Payment Booking Form to the Horizons Montessori website.

The goals were to; Increase Bookings – Payments in Advance – Eliminate no shows – Reduce Administration Time

It has run on the website for four years, 2019/21/22/23 (missed 2020 due to Covid cancellation).

Camp Booking & Payments
Automated to Google Sheets

We set up an automated system where every Camp Booking automatically is added to a Google Sheet.

There is a Master summary sheet which totals the revenues, bookings by week, capacity, spaces left etc.

There is a children’s booking sheet by week. Using this you can filter the week and it gives you your sign in sheets data.

Finally there is a Parents List with all their contact details and which children they have booked.

(Google Sheets are Googles version of Spreadsheets, but better because they are accessed online and multiple staff can view and edit.)

The school had previously been Boosting Posts on facebook. We switched their spend to facebook adverts instead.

Facebook ads, rather than boosting posts, is the best way to target parents in your locality.

This gets parents from Social Media on to your website.

Bringing your school service to their phones.

We set Horizons up with a Facebook Business Manager and a Facebook Ad’s account and installed the Facebook pixel on their website.

We ran the ad’s for 3 separate weeks and the increase in camp bookings those weeks was over 100% higher than the average of weeks with no ad’s running.

We are now implementing a new Horizons Summer Camp facebook ads campaign for 2023 that will run for up to 12 weeks before camp opens.

Having a formal online enquiry or application process for parents is the key function of a school website. There are three enquiry forms on the website.

  1. Montessori Enquiry Form
  2. Homework Club Enquiry Form
  3. Summer Camp Enquiry Form

All the form submissions auto populate to individual Google Spreadsheets.
Class Lists and Waiting lists by service type and enrolment year, are then managed on these Google Sheets, which helps to automate capacity management and reporting.

So how do the website forms work for Schools and Parents?

Well we set up everything, and the following happens automatically…

Parent

- A parent fills out the enquiry/application form on the school website.

- On submission, it opens a page on the website detailing that a confirmation email has been sent to them.

Auto Emails

- Once submitted, the form generates two emails.

- A confirmation email with all the details to the parent, and one to the school.

Auto Reports

- The details of the enquiries are populated to the schools reporting system.

- This system is on Google Spreadsheets, and can combine class enrolment lists and enquiries by service and year.

Response

- The school admin can then review the website enquiries.

- In the reporting dashboard, by service, by school year, and reply to the enquiry as required.

We set up an automated system where every Enquiry automatically is added to a Google Sheet.

Collecting deposit and one off payments from parents can be difficult to manage.

For Horizons we added two payment forms to the website, one for a fixed amount deposit, and one to collect any one off payment, where the parent keys in the amount to pay.

Downloadable records of the payments are then available in Stripe, the payments processor.

Any fixed amount can be set, and paid by the parent using their IBAN, which has much cheaper transaction fees for the school than using a card.

The parent can key in any € amount, which makes the same form usable for multiple payments. Everything from deposits to extra curricular activities to school trips or uniforms.
